Terms of Use
Last updated: September 27, 2026
These Terms of Use (“terms”) govern your access to and use of Clovea, including our website, application and related services. By creating an account or using Clovea, you agree to them. If you don’t agree, please don’t use Clovea.
How we handle personal information is explained in our Privacy Policy.
1. About Clovea
Clovea is software that helps photographers and photography businesses run their business and workflow. Depending on what’s available to your account, it may include:
- Client and contact management
- Enquiries and event management
- Scheduling and calendars
- Team management
- Photography galleries
- Photo storage and organization
- Photo search, including face search
- Third-party integrations
- Other photography workflow tools
Clovea is still being built, and not everything on this list is available yet. Features may be added, changed or removed as it develops.
2. Eligibility and accounts
You must be legally able to enter into an agreement to use Clovea. You’re responsible for:
- Providing accurate account information
- Keeping your account and sign-in details secure
- Everything done through your account
- Telling us promptly if you think your account has been compromised
You may not impersonate another person or organization, or create accounts for fraudulent or abusive purposes.
If you use Clovea on behalf of a studio, business or other organization, you confirm that you have the authority to do so.
3. Your clients and other people
Clovea lets you store and process information about clients, event guests, team members and other people. You’re responsible for making sure the way you collect, upload, store and use that information complies with the law and with any agreements you have with them.
Where consent, notice, authorization or another lawful basis is required, you’re responsible for obtaining it. Clovea doesn’t obtain consent from those people on your behalf.
4. Your content
“Your content” means the photographs, videos, files, client and event information, notes, business information and anything else you upload or submit to Clovea.
You keep ownership of your content. Uploading photographs to Clovea doesn’t give us ownership of them.
You give Clovea a limited permission to host, store, copy, process, display, transmit and otherwise handle your content, only as reasonably necessary to operate, maintain, secure and provide the features you choose to use. That permission lasts only as long as reasonably necessary to provide the service, subject to retention, backup, security and legal requirements.
You confirm that you have the rights and permissions needed to upload and process your content through Clovea.
5. Photographs and creative work
Photographers keep their rights in the photographs and other creative work they upload. You must not upload content you don’t have the legal right to store, process or share.
If your photographs show clients, guests, children or other identifiable people, you’re responsible for meeting the privacy, publicity, contractual and other legal requirements that apply to them.
6. Face search
Clovea’s face search analyzes faces in photographs to help you organize, search and match them. It’s off by default, and a studio turns it on one gallery at a time. Clovea won’t turn it on until the studio records that it has consent to use it.
If you use face search, you’re responsible for having any consent, authorization, notice or other lawful basis needed to process the photographs and facial information of the people in them. How long facial data is kept, and how it’s deleted, is described in our Privacy Policy.
You must not use face search for:
- Surveillance
- Identifying people for law enforcement
- Tracking people without proper authorization
- Discriminatory purposes
- Harassment or stalking
- Building unauthorized biometric databases
- Any unlawful purpose
Face search is meant to help with photography workflows and photo organization. Its matches are suggestions, not identity verification, and shouldn’t be relied on as such.
7. Acceptable use
You may not use Clovea to:
- Break any law or regulation
- Infringe intellectual property or privacy rights
- Upload content you don’t have the right to use
- Distribute malware or malicious code
- Try to gain unauthorized access to Clovea or anyone’s account
- Interfere with or disrupt the service
- Get around security or access controls
- Abuse Clovea’s infrastructure
- Scrape or extract data by automated means without permission
- Commit fraud, harassment, stalking, exploitation or other harm
- Use its photo or face-processing features for unauthorized surveillance
We may restrict or suspend access where reasonably necessary to protect Clovea, its users, other people or the security of the service.
8. Third-party services
Clovea relies on, and may integrate with, third-party services such as sign-in, calendar, storage, email and payment providers. Today, the only one you connect yourself is Google, to sign in. Your use of those services may also be governed by their own terms and privacy policies.
We aren’t responsible for third-party services, or for changes, interruptions, restrictions or failures they cause. An integration being available now doesn’t guarantee it will stay available.
9. Storage and data retention
Photo and file storage isn’t available yet. When it is, any storage limits, retention periods and availability will be shown in Clovea, and may depend on your plan.
Where Clovea tells you content will be kept only for a set period, you’re responsible for keeping your own copy of anything you want to keep beyond it. Don’t rely on Clovea as the only permanent archive of your photographs or other critical business data.
Deleted or expired content may remain for a time in backups, recovery systems or other systems where reasonably necessary for operational, security or legal purposes. Our Privacy Policy describes how long different kinds of information are kept.
10. Subscriptions and payments
Clovea doesn’t charge for anything today, and you can’t buy a subscription yet.
We expect to offer free and paid plans in the future. When we do, prices, billing periods, storage allowances, usage limits and other plan details will be shown before you subscribe, along with how renewal and cancellation work. You’ll be responsible for the fees and taxes that apply to your plan.
We may later change pricing or plan features. Where required, we’ll give existing subscribers notice before a change to their subscription takes effect.
11. Free, preview and beta features
Clovea, or parts of it, may be offered free, as a preview, or as beta or early-access functionality. Those features may be incomplete, and may be changed, suspended or discontinued.
They may contain errors, and shouldn’t be relied on for critical work without appropriate backups.
12. Service availability
We aim to keep Clovea reliable, but we don’t guarantee it will always be available, uninterrupted, secure or error-free. Maintenance, infrastructure or third-party failures, technical problems, security incidents and other events may affect it from time to time.
We may change, suspend or discontinue parts of Clovea as the product evolves.
13. Backups
You’re responsible for keeping your own independent backups of important photographs, files, client information and business records. Clovea isn’t your backup unless a specific feature explicitly says it is.
14. Intellectual property
Apart from content uploaded by users, Clovea and its software, interfaces, branding, designs, documentation and other materials are owned by or licensed to the operator of Clovea and are protected by intellectual property laws. These terms don’t give you ownership of any of them.
You may not copy, modify, distribute, sell, sublicense, reverse engineer or otherwise exploit Clovea, except where the law allows it or we’ve expressly authorized it.
15. Feedback
If you send us suggestions, ideas or feedback, including answers to the waitlist questionnaire, we may use them to improve or develop Clovea without owing you anything for it. This doesn’t give us any ownership of your photographs, client information or other content.
16. Suspension and termination
You can stop using Clovea at any time. There’s no way to delete your account in the app yet; to have it deleted, email us at clovea.app@outlook.com.
We may suspend or restrict an account where reasonably necessary because of:
- A breach of these terms
- Security concerns
- Fraudulent or abusive activity
- Non-payment, once paid plans exist
- Legal requirements
- Activity that creates a material risk to Clovea, its users or other people
Where reasonably possible and appropriate, we’ll give notice before terminating an account. What happens to an account’s data afterwards is governed by our Privacy Policy, our retention practices and the law.
17. Disclaimer of warranties
To the extent the law allows, Clovea is provided “as is” and “as available”. We don’t guarantee that every feature will always work without interruption or error, or that Clovea will meet every business’s particular needs.
Nothing in these terms excludes warranties or rights that can’t lawfully be excluded.
18. Limitation of liability
To the extent the law allows, Clovea and its operators won’t be liable for indirect, incidental, special, consequential or similar damages arising from or related to your use of Clovea, including lost profits, business opportunities, photographs, data or goodwill, or other intangible losses. This doesn’t limit any liability that can’t lawfully be limited or excluded.
19. Your responsibility for claims
To the extent the law allows, you’re responsible for claims that arise from your unlawful use of Clovea, your content, your breach of these terms, or your violation of someone else’s rights.
20. Changes to Clovea
Clovea is an evolving product, and we may add, change, replace or discontinue features over time. Where a change materially affects a paid service or an existing commitment, we’ll give notice where the law requires it.
21. Changes to these terms
We may update these terms from time to time. When we do, we’ll change the “Last updated” date at the top of this page, and where the law requires it we’ll give you additional notice of material changes. Where the law allows, continuing to use Clovea after updated terms take effect means you accept them.
22. Governing law and disputes
To do before publishing
This section is not written yet. Before these terms are production-ready, we need to decide:
- The legal person or business that operates Clovea
- Which country’s or state’s law governs these terms
- Which courts have jurisdiction
- Whether any dispute-resolution procedure is required
